Retreat Terms & Conditions for Work It Out Fitness Studios

These Retreat Terms & Conditions (“Terms”) apply to all bookings for retreats offered by Work It Out Fitness Studios (“we,” “us,” “our”).
By reserving a spot and/or attending the retreat, you agree to these Terms.

Retreat OverviewName: Rejuvenation Retreat
Dates: April 17-19, 2026
Location: Thunderbird Farm in Woodville, ON
Organizer: Robyn Henry, Work It Out Fitness
The Rejuvenation Retreat includes accommodation, all meals (Friday dinner, Saturday breakfast, lunch, dinner, & Sunday breakfast), group fitness sessions, breathwork/movement/mindset workshops, and scheduled solo and group activities. It does not include travel to/from the retreat location, personal expenses, personal wardrobe and toiletries, additional meals outside of those list as included, or optional activities.TICO Notice: This retreat does not include transportation or accommodation packages regulated by TICO. You book travel independently.


Booking & Payment
To secure your spot at the retreat:Whether paying in full, or by instalments, or reservation -- a non-refundable deposit of $200 is required at the time of booking.
The remaining balance is due by March 6th, 2026.
If you pay after March 6th, 2026, full payment is required at the time of booking.
All payments are processed securely through Stripe. We do not store your full card details.Your booking is not confirmed until payment is successfully processed and you receive a confirmation email.


Prices & Inclusions
All prices are listed in CAD unless stated otherwise.
The retreat price includes only those items clearly listed as “included” on the retreat information page.
Any additional costs are your responsibility.
We reserve the right to adjust prices for future retreats, but this will not affect bookings that are already confirmed and paid.


Cancellation by Participant
If you need to cancel your booking, you must notify us in writing by email at: [email protected].
The following cancellation policy applies:
> Your deposit is non-refundable.
> Any additional amount paid (beyond the deposit) may be refunded or credited in full (minus the processing fees), as long as the cancellation is made before March 6th, 2026.
*If you cancel your booking before March 6th, 2026, and we can fill your spot by April 10th, 2026, we will refund you your $200 deposit.*If cancelation is made between March 6th and April 3rd, 2026 -- 50% of the total retreat fee is refundable. The remaining 50% (including the deposit) is non-refundable.*If cancelation is made after April 3rd, 2026 -- no refunds will be issued.You may request to transfer your spot to another person. Any transfer must be approved by us in advance and the new participant must agree to these Terms and complete all required forms/waivers.


Cancellation or Changes by Work It Out Fitness Studios
We reserve the right to cancel, postpone, or modify the retreat if necessary due to reasons beyond our control, including but not limited to:
> Insufficient registrations
> Illness or unavailability of key staff
> Natural disasters, extreme weather, strikes, political unrest, pandemics, or other major force events
> Safety concerns at the retreat location
If we need to cancel the retreat, you will receive a full refund of all payments made toward the retreat fee, (including the deposit, and excluding any third-party costs such as travel or personal expenses you have booked yourself).If we need to postpone or significantly change the retreat (i.e. dates, location), you will be notified as soon as reasonably possible, and you will have the option to accept the new dates/arrangements or request a full refund (including your deposit).We are not responsible for any non-refundable travel arrangements you have booked independently.


Health, Fitness & Participant Responsibilities
By booking and attending the retreat, you confirm that:
> You are physically and mentally able to participate in light to vigorous physical activity, including but not limited to: fitness sessions, walking, stretching, breath-work, and other wellness activities offered during the retreat.
> You have consulted with your physician before attending, especially if you have any existing medical conditions, injuries, or concerns.
> You will inform us of any relevant medical conditions, injuries, allergies, or limitations before the retreat begins.
You agree to:
> Listen to your body, modify or skip activities as needed, and participate at your own pace.
> Follow all instructions and safety guidelines given by Robyn and any other retreat facilitators or staff.
> Take responsibility for your own health, safety, and belongings during the retreat.


Assumption of Risk & Liability Release
By attending the retreat, you understand and agree that:
> Participation in physical activities (including fitness sessions, breath-work practices, outdoor activities, and general retreat participation) carries inherent risks, including but not limited to: sprains, strains, falls, overexertion, dizziness, and other injuries.
> You voluntarily assume all risks associated with participating in the retreat and any related activities.
To the fullest extent permitted by law, you agree to:
> Release, indemnify, and hold harmless Work It Out Fitness Studios, Robyn, any assistants or contractors, and the retreat venue from any and all claims, demands, causes of action, damages, losses, or expenses arising from your participation in the retreat, except in cases of gross negligence or intentional misconduct.
You acknowledge that you remain responsible for your own decisions, actions, and wellbeing throughout the retreat.


Travel, Insurance & Personal Property
> You are solely responsible for arranging and paying for your own transportation to and from the retreat location.
> We recommend that you purchase comprehensive travel insurance that covers trip cancellation, medical care, emergency evacuation, lost luggage, and other potential travel-related issues.
> Work It Out Fitness Studios is not responsible for loss, theft, or damage to your personal belongings during travel or at the retreat.


Code of Conduct
To support a safe and respectful environment, you agree to:
> Treat all participants, staff, and venue personnel with respect and kindness.
> Refrain from any abusive, disruptive, or unsafe behaviour.
> Respect the property, rules, and quiet hours of the retreat venue.
We reserve the right to remove any participant from the retreat (without refund) if their behaviour is deemed unsafe, disruptive, or harmful to themselves or others.


Media, Photos & Testimonials
By attending the retreat, you consent to being photographed or recorded in group settings (without sound) for use in future marketing materials, social media, or on the Work It Out Fitness Studios website.If you do not wish to be included in photos or recordings, please notify us in writing before the retreat and remind us on-site so we can accommodate your preference as best as possible.


Payments & Stripe
> All retreat payments are processed via Stripe, a third-party payment processor.
> By booking, you agree that Stripe may collect and process your payment information in accordance with its own Privacy Policy and terms.
> We do not store your full card numbers on our own systems.

Privacy
Your personal information (such as name, email, and any details provided during booking) will be handled according to our Privacy Policy.We will use your information only as needed to manage your booking, communicate about the retreat, send important updates, subscribe you to our newsletters, and comply with legal obligations.

These Terms are governed by the laws of the Province of Ontario and the applicable laws of Canada. Any disputes arising from or related to the retreat or these Terms will be handled in the courts located in Ontario, Canada.


Agreement
